Fellowship Office - Guidelines for the Administration of Creative and Performing Arts Fellowship Funds, 2008-2009

Creative and Performing Arts Fellowship funds are allocated to departments as block grants of dollars to allow flexibility in assembling financial aid packages that attract the best graduate students.
Departmental decisions will govern Creative and Performing Arts fellowship appointments with the understanding that the submissions will be subject to a brief administrative review in the Graduate College. Vacancies created by declines of these fellowships may be filled at any time during the fiscal year.
Fellowships are to be administered in accordance with the fellowship policies outlined in the Graduate College Handbook at www.grad.illinois.edu/gradhandbook.

Fellowships are awarded under the following terms:

  1. Fellows must be degree-seeking graduate students in good academic standing. Students admitted on limited status due to GPA or current students on academic probation or dismissal status are not eligible.
  2. The fellowship must be sufficient to generate a waiver (minimum stipend of $3,000 per semester) or accompany a waiver-generating appointment (assistantship, fellowship or traineeship).
  3. Students receiving fellowships with a stipend of $3,000 or more per semester will receive a full tuition waiver, regardless of their academic programs. This includes Fellows in academic programs whose students receive base-rate waivers with their assistantships. Fellows receive a full waiver of tuition, service fee, health service fee, AFMFA fee, and Library/technology fee along with partial payment of the health insurance fee and basic dental and vision coverage and for each term of the fellowship. This means that the fellow is responsible for paying the balance of all other fees (such as general, transportation and refundable fees), unless departments elect to pay them from other funds.
  4. With a waiver-generating fellowship, a fellow may carry assistantship or hourly appointments of no more than 50% time, or 20 hours total.
  5. Services are not required for fellowship holders, although services are required for any concurrent assistantships that they hold.
  6. The home organization in Banner for students with fellowships will be the Graduate College Fellowship Office. The fellowship job will always be the primary job in Banner.

 

Procedures for the Administration of Creative and Performing Arts Fellowship Funds

Departments are to submit a completed and signed Graduate College Rating Form to the Graduate College Fellowship Office for each student to be supported. Departments should also track the utilization of their allocation.

The Graduate College will:

  1. Review Rating Forms to ensure the fellowship appointments comply with campus policy and guidelines.
  2. Contact the department if there are any problems or questions.
  3. Send the Fellows a Notice of Fellowship Appointment covering the terms of the Fellowship along with a congratulatory letter from the Graduate College.
  4. Send the department a copy of the Notice of Fellowship Appointment for each student indicating acceptance or decline.
  5. Initiate NESSIE New Hire.
  6. Add the fellowship appointment to Banner.
  7. Track the utilization of the department’s allocation.
