Graduate Faculty Membership

There are three categories of Graduate Faculty Membership: Active, Retired/Resigned and Term Membership. Membership types and processes for becoming a member or changing membership status are outlined below.

DEFINITIONS/REQUIREMENTS

  1. ACTIVE - At the time of appointment or promotion to a tenure-track or tenured position, each faculty member of a graduate degree granting school or college is by definition, an active member of the Faculty of the Graduate College.  
  2. RETIRED/RESIGNED - Members of the Graduate Faculty who have retired or resigned may be retained on the Graduate Faculty for up to five years.
  3. TERM MEMBERSHIP - Others may be nominated by the unit executive officer for term membership on the Graduate Faculty if the qualifications of the nominee as judged by the Executive Committee and the Dean are comparable to those required for appointment to a tenure-track position in a graduate degree granting school or college. The initial term may be at most five years.

PROCESSES (also see table below)

  1. ACTIVE - These additions to the database can be requested by the unit at www.grad.uiuc.edu/grad_faculty/UpdateMember.cfm, but for a new University employee, please wait until the appointment has been entered into Banner and the faculty member arrives on campus.
  2. RETIRED/RESIGNED
    1. The unit executive officer or their designee may request that a member who retires or resigns with tenure retain membership for up to five years by submitting letter to the Graduate College.
      PLEASE NOTE: In this case, tenure status, for the purpose of doctoral committees only, may also be extended (for a term of five years) in the same request.
    2. Departments may ask for a member who retires or resigns without tenure to retain Graduate Faculty membership for up to five years by sending a request letter from the unit executive officer or their designee to the Graduate College.
  3. TERM MEMBERSHIP - These requests must be accompanied by a current Curriculum Vitae and a letter from the unit executive officer, which includes a membership expiration date not more than five years from the request date.

EXTENSIONS

Members of the Graduate Faculty whose terms have ended may be requested to be extended for up to five additional years, upon request by letter from the unit executive officer or their designee. Tenure status may also be extended in the same manner.

REMOVAL

Members of the Graduate Faculty who leave their tenure track appointment at the University and will not continue as a retired or resigned member of the Graduate Faculty can be removed from the database and email list when their appointment terminates by sending a letter of request from the unit executive officer or their designee. Term members will automatically be removed August 1st of their “Member Until” year.
